Attachments

Overview

The Attachments screen allows you to upload a file that you want to use as an attachment to an Email Campaign message. The platform will store this file, and make it available for selection when you're building your Email Campaign. The system supports the following file types:

 Create a New Attachment

To create a new Attachment:

  1. In the Tool Ribbon, click new Attachment.

  2. A "New Item" pop-up window is displayed. To select the folder where you want to save this new Attachment, click the folder name in the Navigation Tree on the left side of this pop-up. The "Where?" field is updated with the selected folder name.

  3. In the "Name" field, enter a name for your new Attachment. This name must be unique within the selected folder.

  4. Click Create. The Workspace is refreshed to show a blank Attachment details screen.

  5. Optionally, in the "Comment" field, enter a description of this Attachment.

  6. The "Folder Name" field displays the folder location that you selected above in step 2. Optionally, to change this location, click on this field. A "Pick a Folder" pop-up window is displayed. Click the desired folder name in the Navigation Tree, then click select folder.

  7. In the "File" field, type in the filepath to the desired Attachment file. Or, click browse, browse to the desired file, then click open.

Note: The maximum file size for an Attachment is two megabytes. The maximum total file size for all Attachments assigned to a Campaign is five megabytes.

  1. Optionally, you can assign one or more tags to your Attachment. To assign a tag, click on the "Add tag" field in the Edit > Tags section of the Tool Ribbon. The system displays a pop-up menu of all the existing tags. You can select one of these tags, or type in a new one and press Enter. You can repeat this process to add more tags. To remove a tag, click the "X" icon next to the tag label.  

  2. In the Tool Ribbon, click Edit > Save. The system uploads the selected file and displays a confirmation message on the screen. The "File Name" field is populated with the name of the attachment file.

  3. Optionally, to download the Attachment file, click the "Download" link. A "Download File" dialog box is displayed. Click open to open the file, or click save to browse to and select a download location.

 

 Copy an Attachment

To copy an existing item to use as the basis for a new item:

  1. Search for the desired item (see Search for an Item for more details).

  2. Click on the item name. The main item screen is displayed and populated with the details of the selected item.

  3. In the Tool Ribbon, click Save As. A "Save as" dialog box is displayed.

  4. Enter a name for the new item.

  5. By default, the new item will be saved in the same folder location as the base item. Optionally, click the magnifying glass icon to browse to and select a different folder location.

  6. Click save a copy. The system creates a copy of the selected item.

 

 

 

 View or Edit an Attachment

To view or edit an existing Attachment:

  1. Search for the desired Attachment (see Search for an Item for more details on the available search methods).

  2. Click on the Attachment name. The Attachment screen is displayed and populated with the details of the selected Attachment.

  3. Optionally, to view detailed information about the Attachment, click the Attachment tab in the Tool Ribbon. The Item Details screen is displayed, showing who created the item, who modified it last, and what the last actions taken on the item were. On this screen, click "Related Items" in the Function Menu to see other items in the system that reference or utilize this Attachment. When finished, click the Edit tab in the Tool Ribbon to return to the main edit screen.

  4. Optionally, you can assign one or more tags to your Attachment. To assign a tag, click on the "Add tag" field in the Edit > Tags section of the Tool Ribbon. The system displays a pop-up menu of all the existing tags. You can select one of these tags, or type in a new one and press Enter. You can repeat this process to add more tags. To remove a tag, click the "X" icon next to the tag label.  

  5. Optionally, to rename the Attachment, click Edit > Actions > Rename in the Tool Ribbon. A "Rename Item" dialog box is displayed. Enter a new name for the Attachment, then click save new name.

  6. Optionally, to change the file's location, click on the "Folder Name" field. A "Pick a Folder" pop-up window is displayed. Click the desired folder name in the Navigation Tree, then click select folder

  7. To upload a new or modified file, type in the filepath to the desired Attachment file in the "File" field. Or, click browse, browse to the desired file, then click open.

Note: You can't make changes to any of the Attachment parameters (such as the Comment field, or the Folder Name, for example), without also uploading a new file. Any time you make a modification to an Attachment, the platform assumes that you will be uploading a new file.

  1. To save your changes, click Save in the Tool Ribbon. The system uploads the new file and displays a confirmation message on the screen.

  2. Optionally, to download the Attachment file, click the "Download" link. A "Download File" dialog box is displayed. Click open to open the file, or click save to browse to and select a download location.

 

 

 Delete an Attachment

To delete an item:

  1. Search for the desired item (see Search for an Item for more details).

  2. Click on the item name. The main item screen is displayed and populated with the details of the selected item.

  3. In the Tool Ribbon, click Delete. A confirmation dialog box is displayed.

  4. Click delete item to confirm the deletion.

Foldered items are moved to the Recycle Bin. Non-foldered items are permanently deleted.

 

 

 Assign an Attachment to a Campaign

The platform allows you to assign one or more Attachment files to an Email message (up to a maximum total file size of five megabytes).  

To assign an Attachment to a Campaign:

  1. Navigate to the desired Campaign (see Campaigns for more details). 

  2. Click the "Setup" tab.

  3. In the "Envelope" section, select "Add Attachment" from the "Advanced Options" menu. The system adds a new "Attachments" field.

  4. In the "Attachments" field:

  • To select an existing Attachment, begin typing in the name of the desired Attachment. The system displays a pop-up menu of Attachments with this text string in the item name; select an Attachment from this menu. Or, click the browse button (magnifying glass icon). A "Browse Attachments" dialog box is displayed, showing all Attachments. Click on an Attachment.

  • To create a new Attachment, click the new button (plus-sign icon).

  1. Beneath the "Attachments" field, the system displays the selected Attachment name, the file name, and the file size. Repeat step 3 as needed to add more Attachments to this Campaign. Optionally, to remove an Attachment, click the delete button ("X" icon) next to the Attachment.
