Global Banned Email List

Engage+ maintains a global, integrated Banned Email list that's utilized by every client in the platform. This global Banned Email list contains, for example:  domains listed by the Federal Communications Commission that can't be mailed to; inactive or retired domains; and email addresses with prefixes commonly used by spammers.  

When you import recipient email address data into your database, by default the platform checks those email addresses against the global Banned Email list, and flags matching records with the Status ID value of "1575 - Banned Address. " Email addresses with this Status ID value will automatically be suppressed from email Campaigns. You can see the number of recipients in your Campaign Audience that matched to the global Banned Email list by looking at the "Banned Addresses (Global)" count in the Pre-Launch Audits.

Note: You can optionally bypass the Banned Email check when you import data. See Data Map topic for more details.

The process of adding or removing email addresses to or from the global Banned Email list is handled by an Administrator. Changes to the global Banned Email list do not impact any existing records already in your database. The changes would impact only records imported after the changes were made.  

Custom Banned Email List

In addition to the global Banned Email list, the platform allows you to define your own custom Banned Email list that contains specific prefixes or domains that you want to suppress from your email Campaigns. For example, you may want to create a custom Banned Email list consisting of your competitors' email domains, so that you don't send them email messages.

Note: Don't use the custom Banned Email feature to ban specific email addresses; you should only use this feature to ban prefixes or domains. If you need to ban specific email addresses, you should use an Exclusion List instead. Or optionally, use the Import feature to upload the email addresses, along with a Status ID value of "1100 - Inactive."

When you add prefixes or domains to your custom Banned Email list, the platform updates the Status ID of all matching email addresses currently in your database to "1575 - Banned Address."

 Create a New Email Ban Mask

A custom Banned Email list is composed of one or more "Email Ban Masks." This Mask might be an entire domain, or an entire prefix (that is, the part of the email address before the "@" sign). After you save the new Email Ban Mask, the system executes a processing job to scan your "Recipient" table to find all of the records that match the new Mask. Matching records are then flagged with a Status ID value of "1575 - Banned Address. "

You can either create the Email Ban Mask through the user interface, or upload a file containing one or more Email Ban Masks (see "Upload New Email Ban Masks" below for more details on that process).

To create a new Email Ban Mask:

  1. In the Tool Ribbon, click add new email ban. The "Add New Email Ban" pop-up window is displayed.

  2. In the "New Ban Mask" field, enter either:

    • An entire domain that's to be banned. If banning an entire domain, enter the value using a "%" as a wild card character to represent the username portion of the email address. For example: "%@banneddomain.com."

    • A prefix that's to be banned. If banning a prefix, enter the value using a "%" as a wild card character to represent the domain portion of the email address. For example: "banneduser@%."

Note: Don't use the custom Banned Email feature to ban specific email addresses; you should only use this feature to ban prefixes or domains. If you need to ban specific email addresses, you should use an Exclusion List instead. Or optionally, use the Import feature to upload the email addresses, along with a Status ID value of "1100 - Inactive."

  1. Click ban email. A confirmation dialog box is displayed. Click ok.

  2. The "Email Ban Jobs" list is updated to show the new processing job for the new Email Ban Mask. Click refresh as needed to update this list. When the job is complete, click "Email Ban Mask" in the Function Menu. Your new Email Ban Mask will appear within this list.

 

 

 Upload New Email Ban Masks

After you save the new Email Ban Mask, the system executes a processing job to scan your "Recipient" table to find all of the records that match the new Mask. Matching records are then flagged with a Status ID value of "1575 - Banned Address. "

You can either create the Email Ban Mask through the user interface (see "Create a New Email Ban Mask" above for more details on that process), or upload a file containing one or more Email Ban Masks. The upload file must be a single-column text file (.txt, .cvs, or .xls) containing a list of the desired Email Ban Masks. Each Ban Mask in this file must consist of one of the following:

  • An entire domain that's to be banned. If banning an entire domain, enter the value using a "%" as a wild card character to represent the username portion of the email address. For example: "%@banneddomain.com."

  • A prefix that's to be banned. If banning a prefix , enter the value using a "%" as a wild card character to represent the domain portion of the email address. For example: "banneduser@%."

Note: Don't use the custom Banned Email feature to ban specific email addresses; you should only use this feature to ban prefixes or domains. If you need to ban specific email addresses, you should use an Exclusion List instead. Or optionally, use the Import feature to upload the email addresses, along with a Status ID value of "1100 - Inactive."

To upload a file of Email Ban Masks:

  1. In the Tool Ribbon, click upload new bans. The "Upload Emails to Ban" pop-up window is displayed.

  2. Click browse. An Open File dialog box is displayed. Browse to and select the desired upload file.

  3. Click upload and ban emails. A confirmation dialog box is displayed. Click ok.

  4. The "Email Ban Jobs" list is updated to show the new processing job for each Email Ban Mask in your upload file. Click refresh as needed to update this list. When the job is complete, click "Email Ban Masks" in the Function Menu. Your new Email Ban Masks will appear within this list.

 

 

 Remove an Email Ban Mask

If you need to remove an Email Ban Mask, the system executes a processing job to scan your "Recipient" table to find all of the records that match the selected Mask. Matching records are then updated to have an active Status ID.

To remove a custom Email Ban Mask:

  1. In the Function Menu, click "Email Ban Masks." The list of all current Email Ban Masks is displayed.

  2. Next to the desired Email Ban Mask, click "Remove Ban."

  3. In the Function Menu, click "Email Ban Jobs." This list is updated to show the new processing job for "un-banning" the selected Email Ban Mask. Click refresh as needed to update this list.
