Sender Profiles

Overview

A Sender Profile is used for Email, SMS, Push Notification, and LINE marketing Campaigns, and controls the "from" information from which your marketing message is sent. The Sender Profile is also used to determine the eligibility of a recipient to be included in a Campaign, based on his or her opt-in / opt-out status.

Engage+ allows you to set up different Sender Profiles within your client account, so you can manage your sender reputation at a more granular level. For example, by setting up different Sender Profiles, you can process opt-outs, abuse complaints, and bounce removals separately.  This feature is particularly useful when deploying mailings for different brands or programs types, such as promotional messages versus transactional messages.

Note: Due to the complexities involved in defining a new Sender Profile, you're not able to create Sender Profiles directly from the Engage+ user interface. If you need to create a Sender Profile, please work with your Marigold support team, who will assist you with this process.

Channels

SMS

For SMS Campaigns, a unique Sender Profile is set up for a Short Code.

Push Notification

For Push Notification Campaigns, an Application Group serves the same function as a Sender Profile. When you create an Application Group, you're effectively creating a Sender Profile for the Push Notification channel.

Email

For Email Campaigns, Sender Profiles are set up at the mailing domain level. An Email Sender Profile determines the following:

Sending Domain is a unique name that identifies an internet resource. The email sending domain is what appears when a consumer receives an email that has been sent using Engage+ (for example, "alerts@crm.abcompany.com").

Link Tracking Domain is used to configure specific link tracking details, such as which links to track, what to call those links, and what append codes or Tags to use.

VMTA Pool  is a set of shared or dedicated IP addresses that will be used to reach the Internet Service Provider and deliver your email messages. An "IP environment" is a set of shared or dedicated IP addresses that will be used to reach the Internet Service Provider and deliver your email messages. IP environments must go through a careful, gradual process of establishing a good reputation with ISPs (a process known as "IP warming"). ISPs will refuse to deliver email messages from IP environments that they view as spammers. Providers use a variety of metrics, such as mailing volumes, complaints, and engagement to determine an IP environment's reputation. Your Engage+ support team can assist you with setting up an effective IP warming strategy that will ensure a good sender reputation.

Classification  allows you to organize your Sender Profiles based on their intended purpose -- sending "promotional"  (such as special offers) or sending "transactional" Campaigns (such as password resets or order confirmations). If this feature is enabled, the Classification setting can be used to manage recipient eligibility across Sender Profiles, within the same sending table. When you select a Sender Profile in a Campaign, the platform will suppress any recipients unsubscribed from other Sender Profiles with the same Classification, on the same sending table. 

Reputation Protection  can be activated here at sender profile level  and at the campaign level you can disable the reputation protection if needed from the sender profile section in the Setup tab. Marigold AI will predict which recipients have an elevated likelihood of unsubscribing and of possibly reporting spam so ML can remove them from a campaign. Campaign Analytics will show how many recipients were held back.

One-Click Unsubscribe is specifically for transactional email campaigns. You can turn One-click unsubscribe On/ Off for transactional campaigns so that the users who opt out of promotions can still get those critical transactional messages without any hassle, ensuring they don't miss out on important stuff.

 

LINE

For LINE Campaigns, a unique Sender Profile is set up for a LINE Account.

The Sender Profile screen is used to manage your Sender Profiles. This screen is accessible by the following method:

 View a Sender Profile

To view the details of a Sender Profile:

  1. When the screen is displayed, a list of all the current Sender Profiles is displayed in the left-hand side of the Workspace. Optionally, you can filter this list by typing in all or part of an Sender Profile name in the "Search by Name" field.

  2. Click on the Sender Profile that you want to view. The Workspace is refreshed to show the details of the selected Sender Profile. The details shown depend on the channel for this Sender Profile:

  • SMS Text: The screen shows the Short Code to which this Sender Profile was assigned. This value can't be edited.

  • Push Notification: The screen shows the application to which this Sender Profile was assigned. This value can't be edited.

  • Email: The screen shows the Sending Domain, Link Tracking Domain, and VMTA Pool to which this Sender Profile was assigned. These values can't be edited. In addition, the screen lists all of the "From" email addresses that have created for this Sender Profile (see Managing "From" Email Addresses for more details on how to create or delete these addresses). The Campaign Classification, One-click unsubscribe for transactional campaigns and Reputation Protection can be set here.

  • LINE: The screen shows the LINE account to which this Sender Profile was assigned. This value can't be edited.

 

 Assign Sender Profile Classification

The Sender Profile Classification allows you to organize your Sender Profiles based on their intended purpose -- sending "promotional" messages (such as special offers) or sending "transactional" messages (such as password resets or order confirmations). The Classification setting is used for managing recipient eligibility across Sender Profiles, within the same sending table. When you select a Sender Profile in a Campaign, the platform will automatically suppress any recipients unsubscribed from other Sender Profiles with the same Classification, on the same sending table.

For example, let's say you have two Sender Profiles classified as "Promotional." You create a Campaign and select one of these Sender Profiles. The platform will suppress all recipients who have unsubscribed from EITHER of your Promotional Sender Profiles.

The use of Sender Profile Classifications varies depending on the data source for the Campaign:

  • EDP-based Sending: If you use the Engagement Data Platform (EDP) as the data source for your Campaigns, you're required to assign a Classification to a Sender Profile before you can use it in a Campaign. This assignment is a one-time configuration that must be defined for every Sender Profile you intend to use in your EDP-driven Campaigns. If you select a Sender Profile in an EDP Campaign, and that Sender Profile does not yet have a Classification assigned to it, the platform displays an error message.

  • Messaging-based Sending: If you use a Messaging table as the data source for your Campaigns, the assignment of a Classification to your Sender Profile is optional, and must be enabled to use (see below). If the feature is enabled, the platform will impose the same restrictions on the Sender Profile selection as described above for EDP-based sending.

To define the Classification for a Sender Profile:

  1. On the Sender Profile screen, select the desired Email Sender Profile.

  2. Next to Classification, select either "Promotional" or "Transactional."

  3. If you intend to use Sender Profiles Classifications for Campaigns that use a Messaging table as the data source, check "Enforce subscription for Messaging by Category." Enabling this feature will cause the platform to check across all Sender Profiles with this same Classification, within the same sending table, to determine recipient eligibility to be contacted.

  4. For Transactional Campaigns, you can enable or disable the one-click unsubscribe functionality by using the One-Click Unsubscribe toggle button. 

  5. Click save.

 

 

 Manage "From" Email Addresses

Within a Sender Profile for the Email channel, you can define one or more "From" email addresses, along with the friendly version of those addresses. The "friendly from" is an important aspect of email marketing, and should be chosen carefully, as it's what consumers will see in their inbox. In most cases, you want to use a "friendly from," such as your company name, brand name, or publication name. A consumer can easily identify your message in his or her inbox if the "from" is something like your company name, as opposed to a full email address.

When you select an email Sender Profile, the screen displays a list of all your "From" email addresses. From this screen, you can add or delete a "From" address.

Note: You can't modify an existing "From" email address.

Add a New "From" Email Address

To define a new "From" email address for a Sender Profile:

  1. Click add a new from address. The "Add New From Address" dialog box is displayed.

  2. Enter the email address using one of the following methods:

    • To use an existing mailing domain, enter the "user" portion of the email address (that is, everything before the '@' sign) in the "From Address" field. Then select a domain from the drop-down menu. This menu contains all of the mailing domains that exist for your system.

    • To use a custom domain, place a check mark in the "Use a custom domain" check box. Enter the full email address (user and domain) in the "From Address" field.

  3. In the "Friendly From" field, enter the friendly version of the email address.

  4. Click save new item. The system closes the dialog box, and adds the new email address to the list.

Delete a "From" Email Address

To delete an existing "From" email address from a Sender Profile:

  1. Next to the desired address, click the "Delete" link. The system deletes the email address.

Note: Deleted "From" email addresses are NOT moved to the Recycle Bin, and can't be restored.

 

 

 Assign a Sender Profile to a Campaign

When defining a marketing campaign in the Email, SMS, and Push Notification channels, you must select the Sender Profile to be used by that Campaign. The channel associated with the Sender Profile must match the Campaign's channel (for example, you can't use an SMS Sender Profile in an Email Campaign).

Note: Before you can use a Sender Profile in a Campaign, you must first associate that Sender Profile to the source table from which you're mailing. See Assign a Sender Profile to a Campaign Source Table for more details on this process.

To assign a Sender Profile to a Campaign:

  1. Navigate to the desired Campaign (see Campaigns for more details).

  2. Scroll to the "Sender Profile" section.

  3. From the "Sender Profile" drop-down menu, select the desired Sender Profile. This drop-down menu lists all of the Sender Profiles (for this Campaign's channel) that have been defined for your system, and that have been associated to the source table from which you're mailing.

  4. In the Tool Ribbon, click Edit > Save.

If you're working with an email Campaign, you must also select the desired "From" email address that you want to use (see Managing "From" Email Addresses for details on setting up these email addresses). To select the "From" email address:

  1. Scroll to the "Message" section.

  2. From the "From Address" drop-down menu, select the desired email address. This drop-down menu lists all of the "From" email addresses defined for the Sender Profile that you selected above.

  3. The "From Name" field is populated with the "friendly" version of the selected "From" email address. Optionally, you can manually enter in a new value in the "From Name" field.

  4. In the Tool Ribbon, click Edit > Save.

 

 

 Assign a Sender Profile to a Source Table

When you define a new marketing campaign in Messaging, you must define the source table (usually something like "Customers" or "Recipients") that the Campaign will use to get its recipients, and to update status fields. For Campaigns in the Email, SMS, and LINE channels, the source table must be linked to the Sender Profile that you want to use for your Campaign.

The Push Notification channel utilizes Application Groups in place of Sender Profiles. See Assign an Application Group to a Campaign Source Table for more details.

Note: Once you assign a Sender Profile to a table, you can't remove that assignment.

To assign a Sender Profile to a table:

  1. From the Main menu, select Data > Management > Tables. The Tables screen is displayed.

  2. A list of all the current Tables is displayed in the left-hand side of the Workspace. Optionally, you can filter this list by typing in all or part of a Table name in the "Search by Name" field.

  3. Click on the table that you'll be using as the source table for your Campaign. The Workspace is refreshed to show all of the data fields in the selected table.

  4. Click on the main identifying field for the desired channel:

    • For the SMS channel, you must select a data field with a Data Type of "Phone."

    • For the Email channel, you must select a data field with a Data Type of "Email."

    • For the LINE channel, you must select a data field with a Data Type of "LINE Contact MID."

  5. The Field details screen is displayed. Click on the "Sender Profiles" section to expand it. This section lists all of the Sender Profiles of the corresponding channel (SMS for "Phone" fields, Email for "Email" fields, or LINE for "LINE Contact MID" fields) that have been defined for this account. Place a check mark next to one or more Sender Profiles.

  6. In the Tool Ribbon, click save.

The system automatically creates a new "Sender Profile Status ID" field for each selected Sender Profile. The Stauts ID field uses Status ID Codes to indicate the eligibility of this consumer to be included in a campaign. You'll see this new Status ID field listed on the Table screen with the default name of: "<Field name> <Sender Profile name> Status ID."
